Job description Role & responsibilities Responsible for travel arrangements which include ticket booking for Domestic & International travel, letter for Visa processing, Cab booking, Hotel booking Facilitate customer visits, make necessary arrangements when they are in the office, ensure that the visits are handled smoothly Handle Attendance system which involves physical attendance, swipe card data generation, generating attendance reports, etc. Issue Access Cards (Temporary and Permanent) to employees Responsible for monitoring and controlling the housekeeping staff, their attendance, surprise checks, procuring materials, controlling expenses, coordinating with the vendors Manage the in-house office boys, their attendance, shifts, work responsibilities Get business cards, ID cards, letter heads, certificates, envelopes, etc. printed. Coordinate with the vendor, obtain necessary approvals Responsible for Inventory Control which includes housekeeping material, stationery used in the company, order for the material, and maintain all related records Operation and maintenance of safety and security systems of the building like CCTV, Proximity access control and Fire Alarm Look after the physical security of the premise, coordinate with the security agency and the guards, check inward and outward register, surprise checks, brief security cards as and when necessary Responsible for up-keep of firefighting instruments, repair and maintenance of AC, Generator, UPS, Electricity Meter. Coordinate with external vendors on the AMC and Service schedules. Handle EPABX and Telecom operations, coordinate with the vendors or building maintenance personnel in case of any issues Responsible for overall facility management and cleanliness Interact with the building maintenance personnel Handle STPI and Customs material Interact and coordinate with other support groups such as HR, Finance, Accounts, PMO, IT as and when needed Preferred candidate profile Education: Any Bachelors degree essential Experience: 2 to 3 years of experience in general administration with a Software Company Good communication, presentation and interpersonal skills Computer Skills Essential Microsoft Word, Excel, PowerPoint and usage of Internet Explorer Role: Office Admin Industry Type: IT Services & Consulting Department: Administration & Facilities Employment Type: Full Time, Permanent Role Category: Administration Education UG: Any Graduate Key Skills Skills highlighted with ‘‘ are preferred keyskills Office ManagementAdministration Work Administration Management
