Job description Job Title: Deputy Manager Customer Service Position Overview- We are seeking a highly motivated and dynamic Central Customer Service Manager to lead and manage the regional Customer Service team. The candidate will be responsible for Customer Excellence” by overseeing the entire sales administration process, managing inventory levels, ensuring audit compliance, addressing customer complaints and optimizing operational efficiency. Lead Zonal Customer Service Team: Mentor and guide the Customer Service team to ensure smooth and effective day-to-day operations. Foster a collaborative team environment, ensuring high engagement and optimal performance. 2. Managing Sales Administration Process (O2C): Oversee the complete Sales Administration Cycle (Order-to-Cash), ensuring timely and accurate order processing. Work closely with cross-functional teams to ensure seamless order fulfilment and customer satisfaction. 3. Regional Warehouse Stock Optimization: Maintain Minimum Stock Levels (MSL) across local warehouses to meet customer demand efficiently. Supervise inventory management processes to ensure accurate and up-to-date records across all locations. 4. Departmental Audit Compliance: Ensure adherence to both internal and external audit requirements. Ensure the department consistently meets regulatory standards and internal policies. 5. Delivery OTIF (On-Time, In-Full) Compliance: Ensure that order fulfilment is executed with a high level of efficiency, ensuring OTIF compliance is maintained at an optimal level. Monitor and report on key performance indicators for delivery excellence. 6. Best Quality Response to Urgencies: Maintain an agile and responsive approach to urgent situations, minimizing turnaround time (TAT) and ensuring quality resolution of critical issues. 7. Complaint (CAPA) Management & Grievance Escalation Handling: Manage and resolve customer complaints with top priority. Ensure that CAPA (Corrective and Preventive Actions) are implemented and escalated grievances are handled with urgency and care. 8. Managing CRM Operations: Lead CRM operations and ensure that Sales Back Office support functions are effectively managed. Ensure accurate and timely customer communication and support throughout the sales process. 9. Bridge Between Back Office Team & Sales Team: Act as a liaison between the Back Office and Sales teams to balance operational deliverables. Coordinate with key departments (PPC, Quality, Marketing, Finance, Purchase, Dispatch) to ensure the smooth flow of processes and timely resolution of issues. 10. Insurance Claim Settlement: Oversee the timely settlement of insurance claims to ensure financial accuracy and minimize disruptions. Liaise with insurance providers and internal teams to manage claims effectively. Qualifications: Educational Background: Graduate degree (preferably in Engineering, Science, or related fields). MBA is preferred. Skills: Strong leadership, communication, and interpersonal skills. Ability to manage cross-functional teams and handle complex, high-pressure situations. Proficient in CRM software, order management systems, and Microsoft Office. In-depth knowledge of supply chain and inventory management. Analytical skills with the ability to troubleshoot and solve operational issues. Knowledge of audit compliance and insurance processes. Personal Attributes: A proactive, solution-oriented mindset.
