Job description Job Location: Worli, Mumbai. Shift Timing's: 9 AM - 6 PM & 12 PM - 9 PM (Montly Rotational basis) Job Description: Job Summary: The Receptionist is responsible for providing exceptional customer service to pet parents, ensuring smooth front desk operations, and supporting overall clinic administration. This role involves managing appointments, handling client queries, maintaining records, and coordinating with veterinarians and support staff to ensure efficient clinic functioning. Key Responsibilities: 1. Front Desk Operations: - Greeting clients and pets warmly upon arrival. - Managing check-in and check-out process efficiently. - Handling phone calls, WhatsApp, emails, and online inquiries. - Scheduling , rescheduling, and confirming appointments. - Maintaining a clean, organized, and welcoming reception area. 2. Client Service & Communication: - Providing clear information on services, packages, pricing, and procedures. - Assisting clients with registration, forms, consent documents, and feedback. - Addressing client concerns professionally and escalate to the manager as and when required. - Coordinating with pet parents for follow-up visits, vaccinations, and reminders. 3. Billing & Cash Handling: - Generating invoices and handle billing accurately. - Managing cash, card, UPI, and online payments. - Maintain daily cash reports and reconcile payments at day-end. - Ensure all services are billed correctly. 4. Coordination & Support - Coordinating with veterinarians, technicians, and support staff regarding client flow. - Ensuring timely movement of patients to consultation rooms. - Updating and maintain client and patient records in the system. - Assisting in inventory updates, when required. 5. Compliance & Protocols - Following clinic SOPs for hygiene, safety, and client handling. - Ensuring confidentiality of client and patient information. - Reporting any operational issues to the Clinic Manager. Skills & Competencies: - Very Good communication skills (English, Hindi, Marathi). - Strong customer service orientation. - Ability to multitask in a fast-paced environment. - Basic computer proficiency (MS Office, CRM/EMR systems). - Positive attitude and team player mindset. Qualifications & Experience: Minimum HSC or Graduate (preferred). 5+ years of experience in customer service/reception (hospital/clinic/pet industry preferred).
